Yearbook Committee Meeting Minutes

Present:           Marina Mason

                        Ms. Thompson

 

1.         Business Ad Follow-up:

 

ü  Ms. Thompson supplied Marina with a spreadsheet for business ad funding created by Mrs. Davis.

ü  Marina has agreed to divide the follow-up calls and distribute a copy to each Yearbook Committee member to be used with the script they received last week via e-mail from Ms. Thompson.   

ü  Discussion took place regarding what information to give the business-owners on the price/size of ads.  Several undeliverable/returned mailings were available at this meeting.  These returned mailings contained the original letter sent to business owners.  Marina will distribute a copy of this letter to each committee member for use with their follow-up script. 

ü  A need for additional business ad contributors took place.  Marina will express this need to the committee in hopes of adding names to the current list for this year, and future years.

 

2.         Senior Group Photo 

 

ü  Mrs. Jones sent an e-mail with the senior poll results and they are as follows:

Rocks behind Papa’s – 32

Winter Scene – 14

Bow Bridge – 7

09 inside gym – 0

09 outside – 0

ü  The “Rocks behind Papa’s” was the obvious, democratic decision.

ü  Marina and Ms. Thompson agreed that 1st period was a good time of day, and, after a visit to the weather channel, it was decided that Thursday, Oct. 30, was the best day for full sun in the immediate future.

ü  Ms. Thompson will approve the date and time with the 1st period teachers and Mr. Baker.  She will also advise the seniors in advance via e-mail.

ü  Discussion took place regarding the availability of the Senior Photographer for the senior group photo…Ms. Thompson will ask Mrs. Davis to check on availability of the photographer to see if she can make this date.  Ms. Thompson will also contact Mr. Braham to see if he can make arrangements for this 1st period time on that day since he has the equipment to professionally take this photo (if senior photographer is not  available).

 

3.         Ballroom Dance:

 

ü  Ms. Thompson mentioned that Mr. Baker has indicated approval of ballroom dance instruction.

ü  Ms. Thompson and Marina have agreed that, since the Senior Ball and Junior Prom will take place in the spring, the dance instruction sessions should take place in January (at the earliest). 

ü  We discussed the best time to put out an interest poll and decided to do so in early January.

ü  Demo and dates will be negotiatated by Ms. Thompson, Mr. Baker and the instructors.

 

4.         A meeting with the yearbook rep. was discussed:

 

ü  A Nov. 3 meeting between the yearbook committee and Mr. Bob Metivier, the Josten’s yearbook representative, was established by Ms. Thompson and Mrs. Davis.  Marina expressed concern b/c of a conflict in schedule.  Ms. Thompson will try to reschedule this appointment prior to 10/31.
